At RV Shared Global Services, we are committed to building long-term relationships based on professionalism, transparency, accountability, confidentiality, and mutual respect.
This document outlines the rights and obligations of both RV Shared Global Services (“RV Shared”, “we”, “our”, “us”) and our clients (“Client”, “you”, “your”).
OUR COMMITMENT TO CLIENTS
RV Shared is committed to delivering outsourced accounting, bookkeeping, payroll support, tax preparation support, management reporting, and business support services with professionalism and integrity.
We undertake to:
- Act honestly, ethically, and professionally.
- Perform services with reasonable skill, care, and diligence.
- Maintain confidentiality of client information.
- Communicate openly and transparently.
- Deliver agreed services within reasonable timeframes.
- Maintain appropriate security measures to protect client data.
- Notify clients of any significant issues that may impact service delivery.
- Treat clients fairly and respectfully at all times.
- Maintain suitably trained staff and quality control procedures.
- Continually improve our systems, processes, and service standards.
CLIENT RIGHTS
Every client of RV Shared has the right to:
1. Professional Service
Receive services delivered with reasonable care, competence, and professional diligence.
2. Confidentiality
Expect all information provided to RV Shared to be treated confidentially and used only for authorised business purposes.
3. Transparent Communication
Receive timely communication regarding:
- Service progress
- Outstanding requirements
- Project timelines
- Deliverables
- Service issues
- Pricing and billing matters
4. Data Security
Expect RV Shared to implement reasonable administrative, technical, and physical safeguards to protect information from unauthorised access, misuse, loss, or disclosure.
5. Accurate Billing
Receive clear and transparent invoices and information regarding fees, service scope, and payment terms.
6. Access to Information
Request information relating to services being performed and receive reasonable updates regarding work completed.
7. Respectful Treatment
Be treated fairly, professionally, and respectfully by all members of the RV Shared team.
8. Complaint Resolution
Raise concerns or complaints without fear of discrimination or adverse treatment and expect complaints to be investigated fairly and promptly.
CLIENT OBLIGATIONS
To enable RV Shared to deliver services efficiently and accurately, clients agree to:
1. Provide Complete and Accurate Information
Provide complete, accurate, and up-to-date information necessary for the performance of services.
RV Shared will rely upon information supplied by the client and is not responsible for errors resulting from inaccurate, incomplete, misleading, or delayed information.
2. Provide Information in a Timely Manner
Submit requested documentation, records, approvals, and responses within agreed timeframes.
Delays in providing information may impact project timelines and service delivery.
3. Maintain Proper Records
Maintain appropriate business records and supporting documentation required for accounting, bookkeeping, payroll, taxation, compliance, and reporting purposes.
4. Review Deliverables
Review reports, reconciliations, payroll summaries, financial statements, management reports, and other deliverables promptly and advise RV Shared of any concerns or discrepancies.
5. Notify Us of Changes
Inform RV Shared promptly of:
- Business structure changes
- Ownership changes
- Contact detail changes
- Regulatory changes affecting the business
- Significant operational changes
- Changes affecting service requirements
6. Maintain System Access
Provide and maintain necessary access to software, systems, portals, and applications required to perform agreed services.
7. Protect Credentials
Maintain the confidentiality and security of passwords, user credentials, authentication devices, and system access permissions.
8. Comply with Applicable Laws
Remain responsible for compliance with all applicable laws, regulations, taxation obligations, employment obligations, licensing requirements, and regulatory requirements relevant to the business.
9. Pay Fees on Time
Pay invoices in accordance with agreed payment terms and engagement agreements.
LIMITATIONS OF RESPONSIBILITY
While RV Shared provides professional support services, ultimate responsibility for business decisions remains with the client.
Unless otherwise agreed in writing, the client retains responsibility for:
- Financial decisions
- Tax lodgements
- Regulatory filings
- Payroll approvals
- Employee management decisions
- Compliance obligations
- Business strategy decisions
- Banking and payment approvals
RV Shared acts as a service provider and support partner and does not assume responsibility for decisions made by the client based upon information provided.
CONFIDENTIALITY
Both parties acknowledge that confidential information may be exchanged during the course of the engagement.
RV Shared undertakes to:
- Protect client information.
- Restrict access to authorised personnel.
- Use information solely for agreed service purposes.
- Require employees, contractors, and subcontractors to comply with confidentiality obligations.
Clients also agree not to disclose RV Shared proprietary processes, methodologies, pricing structures, training materials, templates, or confidential business information without written consent.
COMPLAINTS AND DISPUTE RESOLUTION
RV Shared is committed to resolving concerns fairly and efficiently.
